BIM IT Support in Ontario for Architecture Firms That Can’t Afford a Broken Central Model
BIM IT support in Ontario keeps Revit and ArchiCAD projects moving: worksharing that syncs reliably across the studio and home, workstations and storage sized for large models, a clear choice on where models are stored, and backups tested before a submission depends on them.
When 10 people can’t sync to the central model on a Thursday afternoon, the whole studio stops. This page is for principals, BIM leads and office managers at Ontario architecture firms of roughly 15 to 80 people. For the wider picture, see IT for architecture firms, or ACT360 managed IT services.
What Does BIM IT Support Cover?
Everything the model depends on that isn’t the model itself: where the central file lives, how people sync to it, the workstations they model on, how files reach consultants, and how fast you recover when something goes wrong.
| Area | What goes wrong | What support looks like |
|---|---|---|
| Worksharing and central models | Failed syncs, “Central Model is busy” errors, corrupt files | The right worksharing setup for each office and remote user |
| Workstations | Office-grade PCs stall on large models and views | Machines sized to Autodesk’s published requirements and certified graphics |
| Storage and network | Models take minutes to open; syncs time out | Fast storage on a properly switched office network |
| Remote and multi-office work | Home users can’t sync at all over the VPN | Remote desktop, Revit Server or cloud worksharing, chosen per project |
| Consultant exchange | Linked models in the wrong release or a stale copy | An agreed release per project and controlled shared folders |
| Backups and recovery | A locked central model the week of a submission | Versioned, offsite backups with tested restores |
Your BIM manager owns the model: the standards, the execution plan, the families. We own the ground it stands on. That split matters, because a generic help desk will treat “the central model is busy” like any other slow-computer ticket. ACT360 supports the design software architecture firms rely on, including Revit, AutoCAD and ArchiCAD, as part of Managed IT.
Why Do Central Models Get Slow or Corrupt?
Most often because the central file is being reached over a connection it wasn’t designed for. Autodesk lists slow or failed syncs, “Central Model is busy” errors, model corruption and crashes as symptoms of file-based worksharing over a WAN or VPN.
| What you notice | Common cause | What fixes it |
|---|---|---|
| “Central Model is busy” when several people sync | Central file reached over a slow or busy link | Keep the central file close to the people syncing, or use a WAN-ready option |
| Syncs take minutes and sometimes fail | Overloaded file server, Wi-Fi or a VPN in the path | Wired connections, server storage sized for models, a remote option built for Revit |
| Views lag when orbiting a model | Graphics card or driver not suited to the software | A certified graphics card and a tested driver version |
| Linked models show old content | Links pointing at copies or at another firm’s release | One shared location per link and an agreed release |
| A central model that won’t open | Corruption after interrupted syncs | Restore from a tested backup, then fix the cause |
That last row is the one firms find out about the hard way. Autodesk’s support article on file-based worksharing over a WAN or VPN describes exactly these symptoms. It’s not a Revit bug to wait out. It’s an infrastructure decision to make.
How Should a Studio Workshare Across Offices and Home?
Keep file-based central models on the local office network, and choose a purpose-built option for everyone else. The right one depends on how many offices you have, how often people work remotely and whether consultants work in your models.
| Option | Works well when | Watch out for |
|---|---|---|
| File-based central on the office server | Everyone syncing is in the same office | Not built for home or second-office users over a VPN |
| Revit Server | 2 or more offices with their own servers | Server hardware and setup at each office |
| Revit Cloud Worksharing | Multiple offices, remote staff or consultants in the model | Autodesk Docs and BIM Collaborate Pro subscriptions, and a storage region chosen up front |
| Remote or cloud desktops | Staff mostly remote, models kept next to the compute | Graphics-capable machines cost more; size them carefully |
There’s no single right answer, and anyone who recommends one before looking at your projects is guessing. The Revit Cloud Worksharing workflow needs an Autodesk Docs project, set up by an administrator before anyone uploads a model. Engineering firms working in AutoCAD face a similar choice, which we cover in AutoCAD cloud collaboration for engineering firms.
Can Your Models Be Stored in Canada?
Yes, for select Autodesk cloud products. Autodesk added Canada as a primary storage region in 2025, including for Revit Cloud Worksharing, but the region is fixed when the account hub is created.
Public-sector and institutional clients increasingly ask where project data sits. Autodesk’s June 2025 announcement added Canada for Autodesk Docs, BIM Collaborate and BIM Collaborate Pro. Before you set anything up, know 3 things from Autodesk’s regional offerings FAQ.
- The region is chosen per hub. A firm already on a US hub would need a new hub for Canadian storage.
- Whole projects can’t move between regions. Files can be copied, but versions, issues, markups and permissions stay behind.
- Cloud worksharing doesn’t cross regions. A consultant on a different region’s hub can’t share a cloud model with you directly.
Account and identity data are still processed in the US either way. If a contract asks the question, we help you answer it accurately before the first model is uploaded.
Where Does IT End and BIM Management Begin?
Your BIM lead decides how the model is built and shared. IT makes sure that system works: permissions, folder structure, storage, sync, versions and backups. The two need to agree before a project starts.
Many firms align their information management with ISO 19650-1, the international standard for information management using BIM. We’re not BIM managers, and we won’t pretend to be. What we do is make the standard workable day to day.
- Folder structure and permissions that match your execution plan, so work-in-progress and shared models stay separate.
- One Revit release per project, recorded and rolled out to every workstation that touches it.
- Licences and Autodesk accounts in one list, with leavers removed the day they go.
- A standard setup for new hires, so a new designer opens the central model on day one instead of day three.
Protecting Models From Ransomware and Loss
Models are the firm’s intellectual property. Protect them with versioned, offsite backups tested on a schedule, so a locked central file means losing hours of work, not the submission.
The scenario studios dread is a live project locked by ransomware 48 hours before a submission. Moving models to the cloud doesn’t remove that risk on its own, because sync copies an encrypted file as faithfully as a good one. What protects a studio is a short list done properly. Keep several versions of every model, hold one copy where nobody on the office network can delete it, restore a real project on a schedule to prove it works, require MFA on every Autodesk and Microsoft account, and tune endpoint protection so it doesn’t rescan a large model every time someone opens it. Our business continuity and disaster recovery and cybersecurity pages explain how that’s set up.
What Moving Work to the Right Place Looks Like
Put the work where it runs fast and stays under the firm’s control. For a law firm locked into a vendor’s remote desktop setup, that meant a phased move to Microsoft Azure that the firm owns.
The client isn’t an architecture firm, but the problem will sound familiar: a setup chosen years ago by someone else, slow for the people using it, and hard to change. ACT360 planned the move in phases, kept the firm working throughout, and left it with an environment it controls. The full story is in our law firm Azure migration case study, and our cloud migration page explains how a phased move works. For a studio, the same thinking decides whether models stay on a local server, move to cloud worksharing or sit beside cloud desktops.
How ACT360 Supports a BIM Team
A.C.T.I.O.N.
ACTION is ACT360’s named process. For a BIM environment, it means we learn how models move through your studio before we touch a single server.
Assess
We review where central models live, sync performance, workstations, storage, remote access, licences and backups.
Comprehend
Which projects are live, who works where, which consultants share models, and what your clients require on data location.
Tailor
A prioritized plan agreed with your BIM lead: the changes that stop failed syncs and wasted hours first.
Implement
Changes phased around submissions, with no project moved mid-deadline.
Optimize
Monitoring, tested restores and quarterly reviews, including a workstation refresh plan you can budget for.
Nurture
A standard setup for each new hire and each new project, so the system stays clean as the studio grows.
5 Things to Settle Before a Project Moves to Cloud Worksharing
The storage region
Canada, US or elsewhere, decided before the hub exists.
The Revit release
One version for the project, installed on every workstation that needs it.
Who administers it
Named project admins, plus a plan for when one of them leaves.
Consultant access
Which outside firms join, what they can see, and when access ends.
A backup outside the platform
Versioned copies you control, with a tested restore.
What Does BIM IT Support Cost?
BIM IT support is part of an ACT360 Managed IT agreement, priced per user per month. Autodesk and Microsoft licences are billed separately, and workstation or server hardware is quoted when you need it.
For per-user pricing by studio size and what pushes a quote up, see IT support costs for architecture firms in Ontario. ACT360 Managed IT agreements include a 90-day exit clause, so you can judge the work before you’re committed to it. Questions Architecture Firms Ask About BIM IT Support
Usually too many people are syncing to a central file over a connection that can’t keep up, often a VPN or a busy file server.
Autodesk lists “Central Model is busy” errors, slow syncs and corruption as symptoms of file-based worksharing over a WAN or VPN. The fix is moving the central model closer to the people syncing, or giving remote users an option built for it, such as Revit Server, cloud worksharing or a remote desktop.
If everyone syncing works in the same office, a central model on a good local server is fine and costs nothing extra in subscriptions.
Cloud worksharing earns its subscription when you have remote staff, a second office or consultants modelling in your files. We’d look at how your projects actually run before recommending either.
Autodesk offers Canada as a storage region for select products, including Revit Cloud Worksharing, since its June 2025 announcement.
The region is set when your hub is created, whole projects can’t move between regions later, and account and identity data still sit in the US. Decide this before the first upload.
Not on its own, because moving a slow model to the cloud also moves whatever was slowing it down.
If models are slow because of workstations, graphics drivers, Wi-Fi or an overloaded server, the cloud won’t change that. We find the bottleneck first, then decide where the models should live.
Your BIM manager owns how models are built and shared; ACT360 owns the infrastructure underneath.
We set folder structures, permissions, releases and backups to match your execution plan, and we’ll tell you when a standard is creating an IT problem. We don’t write BIM execution plans.
