What Does Managed IT Cost for a Manufacturing Business in Ontario?
Most Ontario manufacturers pay $80 to $150 CAD per user per month for full-service managed IT with site visits, or $75 to $120 for remote-only support. Microsoft 365 licences are billed separately.
A plant isn’t priced like an office with bigger machines. Shop-floor PCs, an ERP that can’t go down mid-shift, CAD workstations and a second site all change the number. This guide is for owners and controllers at Ontario manufacturers with roughly 15 to 100 people, and it shows what drives the cost, what a plant your size pays, and what the fee should cover. For how we support plants day to day, see our IT for manufacturing in Ontario page, or our managed IT services overview.
How Is Managed IT Priced for a Manufacturing Business?
ACT360 prices managed IT for manufacturers per user per month under one agreement. The fee covers help desk support, monitoring, patching, security tools, backup management and planning. Microsoft licences, hardware and projects are billed separately.
Per-user pricing matters more in a plant than in an office. A supervisor might use a laptop, a tablet on the floor and a phone that pulls up drawings, and per-device pricing would triple that one person’s cost. Shared machines, like the receiving PC or a terminal a whole shift logs into, are listed in scope during the assessment so they get patched and protected without being guessed at.
Full service includes site visits. That’s usually the right fit for a plant, because some problems, a failed switch in the production area or a CAD workstation that won’t boot, can’t be fixed from a laptop in Barrie. Remote-only works for a sales office or a plant where someone on staff handles the hands-on work, which our co-managed IT service is built for.
Managed IT Cost by Plant Size in Ontario
Here are ACT360’s published ranges worked out for the plant sizes we see most, from a small job shop to a 100-person manufacturer. All figures are in Canadian dollars and exclude Microsoft licensing.
For scale, a 30-seat business working with ACT360 typically spends about $41,000 a year, which sits in the middle of the 30-user row. Where a plant lands inside its row depends on the factors below, not on its industry label.
What Pushes a Manufacturer’s Quote Up or Down?
Headcount sets the base. Shop-floor equipment, shift schedules, the ERP and CAD setup, the number of plants, vendor remote access and customer security requirements decide where in the range a manufacturer lands.
- Shop-floor PCs and HMIs. Older machines that run production often can’t be patched like an office laptop. They need to sit on their own network segment and be watched more closely, which takes more setup.
- Shifts. Patching around a 6 a.m. start and a night shift takes more planning than an office that empties at 5.
- ERP and CAD. Sage, Dynamics or QuickBooks on a local server, and AutoCAD or SolidWorks workstations that need real horsepower, both add care. Our page on cloud migration covers when moving the ERP is worth the disruption.
- More than one plant or warehouse. Each site adds network equipment to manage and keep on the same standard.
- OEM and integrator remote access. Every vendor that connects in to service a machine is another way in. Replacing standing connections with one controlled, logged path belongs in scope.
- Customer questionnaires and cyber insurance. OEMs and enterprise customers increasingly send security questionnaires before they’ll buy. Producing the evidence for MFA, backups and access controls takes work.
The first 2 are where a manufacturer’s quote differs most from an office-only business with the same headcount.
Which Managed IT Setup Fits Your Type of Plant?
Most plants belong on full service, because some failures need hands on site. Remote-only fits a sales office, or a plant with a capable IT person on staff who handles the physical work.
Running more than one site? Our post on IT for multi-location manufacturing companies covers what changes.
What Does an Hour of Downtime Cost a Plant?
More than most owners put on paper. Multiply the people who stop working by their loaded hourly cost and the hours lost, then add late shipments, overtime to catch up and scrap. That total is what the monthly fee is protecting.
For example, if 20 people at a loaded cost of $45 an hour stand idle for 3 hours, that’s $2,700 before a single late order. These are illustration numbers, so swap in your own. Run the same sum for a full day in your busiest month and compare it with the 30-user row above.
Downtime in manufacturing isn’t only a hardware problem. Black Kite’s 2026 manufacturing and distribution ransomware report found manufacturing accounted for 22% of all ransomware victims from April 2025 to March 2026, and 70.2% of 2026 manufacturing victims with known revenue earned between $10 million and $100 million a year. That’s the size of a typical owner-operated Ontario plant. The Canadian Centre for Cyber Security’s Ransomware Threat Outlook names manufacturing among the industries affected in Canada. Our post on why ransomware targets manufacturers in Canada covers how attackers get in and what stops them.
Is Managed IT Cheaper Than Hiring or Break-Fix for a Plant?
Most owners compare managed IT with hiring someone or calling a technician when something breaks. Here’s how that looks for a 30-person manufacturer.
The hiring figure comes from Job Bank, which lists an Ontario median wage of $47.00 an hour for IT specialists (2023 to 2024 data). At 2,080 hours that’s about $97,760 a year, before benefits, training or cover for the weeks they’re away. Break-fix can look cheaper in a quiet year. It gets expensive the morning the server fails before first shift and nobody has tested a restore.
What Should the Monthly Fee Cover for a Manufacturer?
The fee should cover the routine work that keeps the office and the plant floor running and secure, plus someone planning ahead with you. If a quote sits well below the ranges above, check which of these it leaves out.
- Help desk support from a named contact who knows your setup, including which machines can’t be touched mid-run.
- Monitoring and patching for laptops, servers, shop-floor PCs and Microsoft 365, scheduled outside production hours.
- Endpoint detection and response on every managed device. ACT360 uses Huntress EDR, backed by a 24/7 threat operations team.
- Multi-factor authentication on every account, including the shared ones people forget about.
- Backups of the ERP, drawings and production data that get test-restored, not only a report saying the job ran.
- Vendor and licence management, including the ERP vendor and the OEMs who connect in.
- Quarterly reviews that tie technology spending to production goals, new equipment and growth.
MFA earns its place. Microsoft reports that MFA plus blocking legacy sign-ins stops more than 99.9% of common identity attacks. Our breakdown of what managed IT actually includes goes line by line.
Which Costs Sit Outside the Monthly Fee?
Microsoft 365 licences, hardware, larger projects and cyber insurance usually sit outside the managed IT fee. Budget for them separately so the monthly number stays easy to compare.
- Microsoft 365 licences, billed per user.
- CAD workstations, rugged tablets, switches, firewalls and plant Wi-Fi as they reach end of life.
- Projects such as separating the office network from the plant network, moving the ERP, or networking a new building.
- Cyber insurance, which increasingly asks about controls your IT provider manages.
Projects can be the difference between an old setup and a good one. For Airdex, a manufacturer of fans, blowers and custom HVAC components, ACT360 rebuilt the server room and replaced the network switch with a new Meraki switch to improve performance and security. The Airdex server room case study shows the work.
Time licence changes carefully if headcount moves with seasonal orders. Under Microsoft’s New Commerce Experience policy, most subscriptions can only be cancelled for a prorated refund within 7 days of purchase.
How Do You Compare Two Managed IT Quotes for a Plant?
Compare scope first and price second. Two quotes at the same per-user rate can cover very different work, so hold both against the same short list.
- Is the plant floor covered? Or only the office.
- When does patching happen? Outside production hours, or whenever the tool decides.
- Is the ERP supported? Day to day, and who talks to the vendor.
- Are site visits included? If not, what does one cost?
- How are backups proven? A scheduled test restore, or a green checkmark.
- What does leaving cost? Notice periods, early-termination fees and handover terms.
Some providers discount longer terms. ACT360’s published rate doesn’t change with term length, and every Managed IT agreement includes a 90-day exit clause. Our page on managed IT with no long-term contract explains how it works, and our guide to what it costs to switch IT providers walks through the rest of the calculation.

What Manufacturers Ask About Managed IT Pricing
$28,800 to $54,000 a year for full-service managed IT at $80 to $150 per user per month, before Microsoft 365 licences. Remote-only support at $75 to $120 per user puts the same plant at $27,000 to $43,200. For scale, a 30-seat business working with ACT360 typically spends about $41,000 a year.
Pricing is per user, and how shared machines such as a receiving PC, an HMI workstation or a terminal used by a whole shift fit into that is settled during the assessment rather than guessed at in a quote. Those machines still need patching and protection, so they get listed in scope either way. The number you sign is the number you pay.
Updates and maintenance are scheduled outside production hours. Machines that can’t be rebooted mid-run get their own maintenance windows, agreed with you in advance.
Day-to-day support for the ERP and accounting systems manufacturers run, including Sage, Dynamics and QuickBooks, is part of how ACT360 supports a plant. Larger work such as moving the ERP to the cloud or building integrations between the ERP and other systems is scoped and priced as a project. You’ll see that split in writing before you sign, so nothing turns up later as a surprise.
About $97,760 a year in salary is what one IT specialist costs at Job Bank’s Ontario median of $47.00 an hour, before benefits, training and vacation cover. Full-service managed IT for 30 users runs $28,800 to $54,000 a year in our published range, and you get a team that can cover a second shift instead of one person.
Every ACT360 Managed IT agreement includes a 90-day exit clause, so you aren’t locked in while you find out whether the fit is right. Our published rate doesn’t change with term length either.
